The 11th annual VEX Robotics World Championship takes place on April 25 through May 1, 2018, at the Kentucky Exposition Center in Louisville, Kentucky. This week-long event will host the brightest minds from elementary school, middle school, high school, and university students for a massive competition that celebrates STEM education, collaboration, hard work, and year-round dedication.

WHAT VOLUNTEER ROLES ARE AVAILABLE AT WORLD CHAMPIONSHIP?

HOW LONG IS A TYPICAL VOLUNTEER SHIFT AT WORLD CHAMPIONSHIP?

Shifts vary based on position and can be 4-12 hours. We are in greatest need of volunteers who can help all day, and you can sign up for one shift or multiple shifts. We are always looking for people who can volunteer over multiple days if it suits your schedule.

WHO CAN VOLUNTEER?

Make volunteering a family affair! Younger students who can pay attention to directions make great Field Reset volunteers, and you can choose shifts in the same area to volunteer together in most cases. You can register together using the Group Volunteers Registration Form.

HOW DO I REGISTER TO VOLUNTEER?

Register to Volunteer for VEX Worlds 2018 here and select the appropriate Registration Form link. Then follow the instructions in your confirmation email.

HOW DO I SIGN UP FOR VOLUNTEER SHIFTS?

Volunteer shift schedules will be posted in March. Once they are available online, you will receive an email through Shiftboard with further instructions. You can opt to self-schedule, or we can assign shifts for you. You must have an account in Shiftboard to view shifts.

I HAVE REGISTERED IN THE SHIFTBOARD SYSTEM – HOW DO I LOG IN?

Once you have registered, you will get a confirmation email with your username and temporary password. Click the link to activate your account, and bookmark the Sign-On page for VEX World Championship Volunteers to log in, change your password, update your profile, and view shifts and training materials available for your role.

WHAT TRAVEL ACCOMMODATIONS ARE AVAILABLE?

Visit the Hotel Booking Site for April 25-28 or the Hotel Booking Site for April 29-May 1 for a great selection of accommodations and discounted rates. You can book hotels based on the dates you are volunteering.

IMPORTANT: After you select your hotel and click the “BOOK HOTEL” button, you are taken to an online form to make your reservation. Select “Registered Team” for the first question, and in the next dropdown for “Team,” please select the choice for: “#VOLUNTEERS, VENDORS, MEDIA, ETC.” near the top of the list.

Volunteers are responsible for making their own arrangements for travel between the Louisville Airport (SDF) and their hotel. Information about ground transportation services can be found on the airport’s website. Additional travel information can be found on the Team Travel Page.

DOES VEX COVER MY TRAVEL COSTS IF I VOLUNTEER?

Volunteers are responsible for making their own arrangements for transportation and hotels and enjoy the same travel benefits as attending teams. VEX Robotics and the REC Foundation are not able to cover travel costs for volunteers.

IS THERE A SHUTTLE RUNNING FROM MY HOTEL TO THE KENTUCKY EXPOSITION CENTER?

There will be a free shuttle bus loop between the Kentucky Exposition Center and many area hotels during VEX Worlds. Click here for details.

HOW IS PARKING HANDLED FOR VOLUNTEERS? DO I GET A PARKING PASS?

All volunteers working one entire day or more will receive a parking pass valid for the duration of the event. We will send information on pass distribution as the event gets closer.

Note: Parking is free Wednesday, April 19 and Sunday, April 23. For volunteers working only one half-day shift, the Normal Daily Rate is $8/day (no in/out privileges) or $12/day (with in/out privileges).

HOW CAN I GET A VEX WORLDS VOLUNTEER SHIRT? CAN I PURCHASE ONE?

VEX Robotics World Championship Volunteer t-shirts are provided to people volunteering for an entire day or more, and those with large groups. Shirts are not provided to half-day volunteers. Volunteer shirts are not available for purchase.

ARE MEALS PROVIDED FOR VOLUNTEERS?

Meals and snacks are provided throughout the day for volunteers based on the length of your shift. All-day volunteers will get breakfast and lunch, plus snacks and beverages. Half-day volunteers may get a meal or a snack depending on the start and end times of the shift itself.

WHEN ARE DIFFERENT TEAMS COMPETING?

The VEX Robotics Competition and VEX U (middle/high school and university teams) portion of the event will be held April 25-28; and the VEX IQ Challenge (elementary/middle school teams) portion will be held April 29-May 1, 2018.
