The Robotics Education & Competition Foundation Operations Admin. Assistant position has energy and passion for the RECF mission and vision. This position is primarily responsible for providing customer support and managing the support emails/phone calls at the Greenville, TX office, this position will also support the operations team with events, shipping/receiving, and travel arrangements.
Responsibilities
- Serve as the first wave for mainline office phones and emails.Â
- Provide excellent customer service via phone and email support to both our staff and customers.
- Process incoming mail, packages and general deliveries.
- Prepare documents/ materials using word processing, spreadsheets, database, and presentation software.
- File and retrieve organizational documents; maintain confidentiality of sensitive information.
- Distribute information /materials to staff.
- Maintain and update email templates for customer support.
- Assist with travel arrangements for staff and volunteers attending events hosted by REC Foundation.
- Assist with staff calls and staff requests for online meetings.
- Assist with expense reports.
- Assist with set up/tear down and preparation/execution of REC Foundation supported events.
- General office upkeep, including but not limited to general cleaning, trash, and office space management (reconfiguration, etc.).
- Participate in select REC Foundation events:
- Attendance is mandatory at World Championship, Staff Conference & Event Partner Summit
- Travel may be required for some events
- Performs other related duties as assigned.
Requirements
- Location: This position is required to be in the Greenville, TX office.
- Knowledge of intermediate office/clerical procedures, computer competency, and ability and willingness to learn new programs.
- Excellent written and verbal skills. English fluency required.
- Willing to take initiative; experience as a self-starter with strong organizational and multitasking skills.
- Ability to maintain security, confidentiality, and privacy of sensitive files and information.
- Skilled in problem-solving and setting priorities to manage varying workloads.
- Desire to provide excellent customer service and ability to work with a diverse population.
- Ability to travel throughout identified regions, within the U.S., as needed.
- Ability to interface on a professional level at all times with a variety of different personalities from co-workers to sponsors to customers.
- Ability to pass a background check.
- Competency and constant review of our website and operations web system. Maintain above average level of constant learning of our new additions, revisions, and updates to Robot Events.
- Ability to lift 25+ pounds.
- Valid driver’s license required
- This position is required to attend the complete duration of the World Championship each year.
