The Robotics Education & Competition Foundation Development Administrator position has energy and passion for the RECF mission and vision. This position is primarily responsible for managing the administrative responsibilities for the development team and supporting all grant applications.

This position reports to the Director of Business Operations and works closely with the other VPs and Directors, Accounting, and other departments as needed.

Responsibilities

  • Assist VP of Development, Marketing, & Operations in scheduling outside meetings.
  • Scheduled weekly staff meetings, arranging conference lines, and note taking.
  • Assist with coordination of travel and expense reporting for CEO and other VPs.
  • Maintain sponsor information tracking and database.
  • Aid with information collection for reporting and case studies.
  • Coordinate grant setup in RobotEvents per sponsorship requirements.
  • Approve all grant applications after staff recommendation/review of applications.
  • Assist with the organization’s survey processes and compiling reports.
  • Assist with research as assigned for grant or sponsorship proposals.
  • Gather equipment costs, shipping estimates for grant proposals, and maintain master internal pricing guide.
  • Conduct and assist with grant issues/concerns, wrong equipment delivered, and communicate with staff in regards to grants as necessary.
  • Participate in select REC Foundation meetings and events.
    • Attendance is mandatory at the VEX Robotics World Championship, Staff Conference, & Event Partner Summit.
  • Assist with monthly reporting for grant awards.
  • Assist development team with additional administrative tasks and projects as assigned.

Requirements

  • Bachelor’s degree or equivalent of work experience.
  • 3+ years of executive administrative experience.
  • Excellent written and verbal skills. English fluency required.
  • Initiative and resourcefulness; experience as a self-starter.
  • Strong organizational skills and ability to multitask.
  • Ability to maintain security and confidentiality of sensitive files and information.
  • Skill in problem-solving and setting priorities to manage varying workloads.
  • Desire to provide excellent customer service and ability to work with a diverse population.
  • Computer competency and ability to learn new programs.
  • Ability to travel throughout identified regions, within the U.S. and infrequently abroad.
  • Ability to interface on a professional level at all times with a variety of different personalities all the way from co-workers to sponsors/partners to customers.
  • This position is required to attend the complete duration of VEX Worlds each year.
  • Remote work option, must be within 3 hours driving distance of the Greenville,TX office.
